Submitting an enquiry allows us to respond to that particular enquiry. It does not automatically give us permission to send unrelated marketing communications.
5. Investor pipeline and future property opportunities
When someone submits the investor registration form, their details and investment criteria may be added to our customer relationship management system and investor pipeline.
We use this information to maintain a record of potential investors and assess whether future properties may match their stated criteria.
Emails about future property opportunities are classed as direct marketing. We will only send these emails where the investor has actively agreed to receive them.
The marketing-consent box on the investor form is optional and is not selected in advance. An investor may submit their criteria without agreeing to receive future property-opportunity emails.
We keep a record of whether the investor selected or did not select the marketing-consent box.
Investors can withdraw their consent or object to marketing at any time by emailing steve@keywisepropertysolutions.com or by using any unsubscribe method included in a marketing email.
Withdrawing consent will not affect the lawfulness of processing carried out before consent was withdrawn.
Consent to receive marketing emails is separate from any consent given through the website’s cookie banner.
6. Seller and general contact enquiries
Information submitted through the seller or general contact forms will be used to respond to and manage the original enquiry.
We will not use seller or general contact enquiries for unrelated email marketing unless the person has separately and clearly agreed to receive it.
We may retain an appropriate record of an enquiry for business administration, dispute handling and legal purposes, subject to the retention periods explained below.

Consent can be withdrawn at any time.

- customer relationship management providers, including HighLevel when our planned CRM integration is enabled;

- estate agents, brokers, surveyors, contractors or other property professionals involved in a potential transaction;
- fraud-prevention, identity-verification or anti-money-laundering service providers; and
- regulators, courts, law-enforcement bodies or public authorities where disclosure is legally required.
We only share information that is reasonably necessary for the relevant purpose.
Before disclosing identifiable information to another seller, investor or professional, we will consider whether permission is required and whether the disclosure is necessary and appropriate.
9. Website systems and service providers
Our website is hosted using Hostinger and operates using WordPress.
Website enquiries may be submitted through Contact Form 7 and delivered to our business email account. Form information may also be added to our customer relationship management system when the relevant integration is enabled.
We intend to use HighLevel to manage enquiries, investor criteria, communications and pipeline records. Until that integration is enabled, enquiries will continue to be handled through the existing website and email systems.
These service providers may process information on our behalf under their own contractual and security arrangements. They may also collect limited technical information necessary to operate and secure their services.
10. International transfers
Some technology and customer relationship management providers may process or store information outside the United Kingdom.
Where personal information is transferred internationally, we take reasonable steps to ensure that an appropriate legal transfer mechanism and data-protection safeguards are in place, as required by UK data-protection law.

- general, seller and unsuccessful enquiries: normally up to 24 months after the last meaningful contact;
- inactive investor records: normally up to 24 months after the last meaningful interaction, unless there is an active business relationship or renewed permission;
- active investor records: while the investor remains active and wishes to be considered for property opportunities, with the relationship and marketing preferences reviewed periodically;
- investor marketing-consent records: while we rely on that consent and for an appropriate period afterwards to demonstrate how the person’s preferences were managed;
- completed transactions and contractual records: normally up to six years after completion or the end of the business relationship;
- anti-money-laundering records: for the legally required period, normally five years after the relevant business relationship or transaction ends; and
- website security and technical records: for the period reasonably required to investigate security, performance or misuse issues.
If someone withdraws marketing consent, we may retain a minimal suppression record containing enough information to ensure that we do not send further marketing communications.
Information may be retained for longer where required by law, a regulator, legal proceedings or an ongoing dispute.
